YOUR CONTRACT AND AGREEMENT
A ‘booking’ refers to any request for products or services you submit through our Site that we accept and process. We will confirm receipt (and form a contract) once we receive full payment from you and dispatch a confirmation email (either from London to Africa Travels or the appropriate Travel Agent). All travel offerings on the Site depend on availability. London to Africa Travels provides a variety of products, and the specific terms for your booking will vary based on whether it involves a flight, package deal, hotel, holiday accommodation, or a mix of services. London to Africa Travels serves as an intermediary for third-party providers like airlines, hotels, insurers, car hire firms, package tour operators, and others (referred to as Travel Suppliers). When you book through the Site and the selected travel item or service is available, the agreement will be directly between you and the Travel Supplier. London to Africa Travels is not involved in that contractual arrangement. For ‘Other Products’—such as separate flights and hotels bought and paid for at different times, or holidays arranged by another provider—the contract is also between you and the Travel Supplier, with London to Africa Travels not being a party to it.
LONDON TO AFRICA TRAVELS HIGHLY ADVISES SECURING INSURANCE FOR ANY TRIP, PARTICULARLY SINCE THERE COULD BE SITUATIONS WHERE NEITHER LONDON TO AFRICA TRAVELS NOR THE TRAVEL SUPPLIER CAN BE HELD RESPONSIBLE (e.g., DELAYS OR CANCELLATIONS OUTSIDE OUR CONTROL).
TRAVEL SUPPLIERS
London to Africa Travels operates as an agent for various third-party providers, and for these Terms, this includes tour operators, hotels, hotel groups and aggregators, insurers, car providers, and all airlines under the umbrella of ‘Travel Supplier.’ Your contract in these instances is with the Travel Supplier, and any issues or questions about the product should be directed to them. You’ll find the name, address, and contact information for most suppliers in the ‘more info’ section at the bottom of each product page, and for all in the confirmation email sent by us or the Travel Supplier. London to Africa Travels assumes no responsibility for the travel products or services delivered by the Travel Supplier and offers no guarantees or assurances (explicit or implied) regarding the suitability or quality of items featured on the Site.
TRAVEL SUPPLIER CONDITIONS
These rules apply to all bookings made via our Site: The Travel Supplier’s own terms (including airline carriage conditions) will supplement those outlined here. These may cover aspects like payment processes, defaults, liabilities, cancellations, booking alterations, refunds (if applicable), and other limitations. As you navigate the Site, you’ll encounter links to terms specific to certain Travel Supplier products (we recommend reviewing them thoroughly)—but always consult your particular Travel Supplier for complete details on applicable terms. You are accountable for adhering to any airline or other Travel Supplier rules concerning check-in deadlines, flight reconfirmations, or similar matters.
FLIGHTS BOOKING TERMS & CONDITIONS
Be aware that airfares come with fare-specific additional rules. For instance, ‘economy restricted’ fares are typically non-changeable and non-refundable. Flights must follow the sequence in your itinerary—missing the outbound or initial leg could void the entire ticket. Recommended check-in times are at least 120 minutes for international flights and 90 minutes for domestic ones. Some carriers require reconfirming return flights at least 72 hours prior to departure; not doing so with the airline directly could lead to cancellation. Airlines also reserve the right to adjust schedules or cancel bookings. Although London to Africa Travels, as an agent, isn’t liable for such changes or cancellations, we’ll offer reasonable support through our customer service. We suggest checking in early for specific seat preferences (especially in economy), but London to Africa Travels cannot control seat assignments, even if pre-booked, and offers no assurances on availability at departure. London to Africa Travels is not accountable for transfer costs between airports or terminals. Special or best-price fares might not use the most direct paths, and some routes involve aircraft changes. A ‘direct’ flight maintains the same flight number but may involve an aircraft swap. A ‘nonstop’ flight goes straight from origin to destination without stops. Times are in 24-hour format, approximate, and based on outbound legs.
Direct Flight: Maintains the same flight number throughout, possibly with an equipment change, differing from nonstop flights that go directly without stops.
Nonstop Flight: Travels straight from departure to arrival without any stops or layovers, unlike direct flights which only need to keep the same number but may include aircraft changes.
GENERAL
During the booking for flights or hotels, you can input details for any applicable frequent flyer or hotel loyalty schemes you’re part of. These programs are governed by the airline or hotel’s terms, which might not award points for all fares or classes. Contact the airline or hotel if unsure. Our Travel Suppliers have their own loyalty program policies—reach out to them directly with questions. For ‘special requests’ (e.g., meals, accessibility aids, child seats), London to Africa Travels doesn’t guarantee fulfillment but will forward them to the Travel Supplier or hotel. It’s your duty to verify with the Travel Supplier or hotel if these can be accommodated.
DELIVERY OF YOUR BOOKING
These apply to all Site bookings:
E-TICKETS In the booking process, you’ll choose between e-ticket or paper ticket. Airlines have their own e-ticketing rules, and London to Africa Travels isn’t responsible for non-compliance—check with your airline beforehand.
TICKET DELIVERY London to Africa Travels depends on the accuracy of your provided details and isn’t liable if paper tickets are lost due to incorrect addresses or e-tickets fail to arrive because of wrong emails or spam filters. Notify us immediately of any email or phone changes. Ensure passport names match ticket/confirmation names. We don’t ship paper tickets outside the UK. For special delivery needs (e.g., secure buildings), inform us right after booking. It’s your responsibility to alert us if tickets haven’t arrived. If you have another booking (with us or elsewhere), tell us if you need our tickets by a specific date—ideally before finalizing. This helps determine if expedited delivery is needed. Some airlines charge for re-issuing lost or delayed tickets, with procedures varying by carrier. We use Royal Mail 1st Class for tickets; contact us if not received within 7 working days of confirmation (but not sooner, unless departure is imminent). Within 48 hours after that, if you notify us, we’ll cover reissue costs; beyond that, you’re responsible. For Express Next Day via City Link (guaranteed by 18:00 next day), contact within 48 hours of confirmation if missing—but not before. Late notification may lead to airline fees you’re liable for. Track deliveries using the reference in your dispatch email. In rare cases, we might not issue tickets due to external restrictions; we’ll notify within 48 hours of confirmation, offering a refund or alternative. If the alternative costs more, you pay the difference. You may need to show your booking number or confirmation to the Travel Supplier as proof.
CANCELLATIONS OR MODIFICATIONS TERMS
These apply to all Site bookings: Your options to cancel or alter a product/service depend on the Travel Supplier’s or hotel’s terms, so it might not be possible or require specific conditions. For flights, contact our call center by phone or email at info@londontoafrica.co.uk. For car rentals: Cancellations/amendments within 7 days of booking incur £15 per rental; after 7 days, £40 per rental. Sometimes, we or the Travel Supplier need written requests plus fees to process changes/cancellations. A flight ‘no-show’ could lead to airline cancellation without refund—get written confirmation of changes near departure before skipping original flights. For car rentals, failing to cancel before pickup or not collecting (or breaching terms) may incur a 100% ‘no-show’ fee.
PAYMENT TERMS
Full payment for Flight Packages is due at booking. Car rentals may have extra charges (e.g., optional coverage, extra drivers, mileage) per their terms. Flight payment timing varies: (i) full at booking, (ii) deposit then balance at checkout, or (iii) full at checkout. Check ‘Payment Summary’ or confirmation email. Payment goes to London to Africa Travels, the Travel Supplier, or their agent. Some airlines add local taxes. We may share card details with Travel Suppliers for processing. Only Site-listed payment methods are accepted; no liability for mailed cash/cheques. Without full payment, no tickets/documents are issued, but you’re still liable for agreed amounts. As an IATA agent, scheduled flight tickets are sent within 24 hours of payment acceptance. We accept major debit/credit cards as listed. We may add handling fees for credit card bookings, notified at time of purchase. We can pass on chargeback fees. Tickets/documents may only go to card billing addresses if required by issuer. Incorrect billing info could cancel bookings, delay tickets, or raise fares—ensure details match statements. To combat fraud, we may verify details against databases; you consent to this. It discloses info to credit agencies for identity checks only—no credit impact, handled per Data Protection Act 1998. We might request proof of address/card copies before issuing. Refunds go to original payment method, to the payer. Taxes vary with exchange rates. Airlines may take flight payments directly; issues will prompt contact within 48 hours (24 if travel imminent). We’re not liable for price hikes from payment failures—you pay any increases. Airline and other payments appear separately on statements.
PASSPORTS, VISAS, AND HEALTH TERMS
This info applies to British Citizens only. Others (e.g., British Dependent Territories citizens, Gibraltar-connected, British subjects with UK abode rights, EC/other nationals) should check with destination embassies and UK Home Office Immigration for requirements. Many countries require passports valid for at least 6 months post-entry. Renew if under a year remains; check Passport Agency pre-travel via www.ukpa.gov.uk. Confirm destination needs if passport nears expiry. Children need own passports if not on valid ones; those added pre-5 October 1998 can travel until age 16, passport expiry, replacement, or amendment. Names must match tickets, or travel/insurance may be invalid. Notify us immediately of post-booking name changes (e.g., marriage) for updates.
US Travelers: Visas needed unless qualifying for Visa Waiver Program (VWP). Eligible British Citizens with UK abode rights complete waiver on arrival, meeting US requirements. All need machine-readable passports (MRP)—check white strip on data page. Non-MRP holders need visas. See www.usembassy.org.uk or www.fco.gov.uk. Non-British: Contact your embassy. Regs change—verify with embassies early. You’re responsible for valid docs; apply timely as visas take time. We aren’t liable for missing docs. Check health reqs via www.dh.gov.uk/PolicyAndGuidance or GP (British); non-British via your health dept.
OTHER GENERALLY APPLICABLE TERMS
London to Africa Travels isn’t liable if booking failure, death, or injury isn’t our, agents’, or Suppliers’ fault. For international air/sea/rail, liability follows conventions. Direct loss liability caps at booking price (except death/injury, unlimited). No liability for indirect/consequential losses from Site use or bookings.
QUERIES AND COMPLAINTS
Contact customer service pre-departure for inquiries/complaints. Log stay-related complaints with Travel Supplier/hotel on-site. Post-stay, contact us within 30 days with booking ref and details. Provide extra info promptly if requested. This allows investigation and quick fixes.
